Bookvise ("we," "our," or "us") provides AI-powered bookkeeping software to small businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have about your data. By using Bookvise, you agree to the practices described here.
When you create an account, we collect your email address and a hashed version of your password. We never store your password in plain text.
With your explicit authorization, we access your bank account transaction history through Plaid, a regulated financial data aggregator used by Venmo, Coinbase, and thousands of other applications. We receive:
We never receive or store your bank login credentials. Authentication is handled entirely by Plaid using bank-level OAuth flows.
We collect standard server logs including IP addresses, browser type, and pages visited. This data is used for security, debugging, and improving our service. Logs are retained for 90 days.
Subscription payments are processed by Stripe. We do not store credit card numbers, CVVs, or full payment details. We receive a Stripe customer ID and subscription status from Stripe's secure servers.
We store your email address to send transactional emails (login verification codes, password reset links, and account notifications). We do not send marketing emails without your consent.
Your bank transaction data is sent to Anthropic's Claude AI to automatically categorize each transaction (e.g., "office supplies," "travel," "payroll"). This is the core function of Bookvise. Transaction data is processed in real time and is not used to train AI models. Anthropic's data handling is governed by Anthropic's Privacy Policy.
If you choose to connect QuickBooks, approved transactions are sent to the QuickBooks API on your behalf using the OAuth tokens you authorize. We store your QuickBooks access tokens (encrypted) to enable this integration. We do not access your QuickBooks account for any purpose other than posting the transactions you explicitly approve.

Despite these measures, no system is perfectly secure. If you believe your account has been compromised, contact us immediately at security@bookvise.ai.
You can request a copy of all data we hold about you at any time by emailing hello@bookvise.ai. We will respond within 30 days.
If any information we hold about you is inaccurate, you can correct it from within the app or by contacting us.
You may request deletion of your account and all associated data at any time. We will permanently delete your data within 30 days of your request, except where retention is required by law (e.g., billing records for tax purposes, which we retain for 7 years).
You can revoke Bookvise's access to your bank account at any time through your bank's connected apps settings or by contacting us. Revoking access stops future syncs but does not delete previously imported transaction records unless you also request account deletion.
California residents have the right to know what personal information we collect, to request deletion, and to opt out of the sale of personal information (we do not sell personal information). To exercise these rights, email us at hello@bookvise.ai.

Data is retained for as long as the user maintains an active Bookvise account. This is necessary to provide continuous bookkeeping and categorization services.
Users may request deletion of their account and all associated data at any time by contacting Bookvise support at hello@bookvise.ai. Upon receiving a deletion request, Bookvise will:
If a user cancels their subscription, their data is retained for 30 days to allow for reactivation. If the account remains inactive after 30 days, all associated data will be permanently deleted following the same process described above.
All data is stored in a managed PostgreSQL database hosted on Railway. Deletion is performed via permanent database record removal (SQL DELETE operations), which is not recoverable once committed.
This policy will be reviewed periodically as Bookvise grows, and updated to remain compliant with applicable data privacy laws including CCPA and GDPR.
These Terms of Service ("Terms") govern your use of Bookvise. By creating an account or using the service, you agree to these Terms. If you do not agree, do not use Bookvise.
Bookvise is provided by an individual operator ("we," "us"). The service is intended for use by small business owners and their authorized representatives in the United States.
Bookvise costs $299 per month per account. This price includes all features: unlimited transactions, AI categorization, QuickBooks sync, and email support.
Your subscription is billed monthly on the date you first subscribe. Billing is processed automatically by Stripe, a PCI-DSS Level 1 certified payment processor. You authorize us to charge your payment method on a recurring monthly basis until you cancel.
We may offer a free trial period. During a free trial, you will not be charged. At the end of the trial, your subscription begins and you will be billed the standard monthly rate unless you cancel before the trial ends.
We will give you at least 30 days' written notice before changing the subscription price. If you do not cancel before the new price takes effect, you accept the new price.
If a payment fails, we will attempt to retry the charge. If payment is not received within 7 days, your account may be suspended until payment is resolved. You remain responsible for all outstanding charges.
You may cancel your subscription at any time from your account settings or by emailing hello@bookvise.ai. Cancellation takes effect at the end of your current billing period โ you will retain full access until then and will not be charged again.
We do not issue refunds for partial billing periods. If you cancel mid-month, you keep access through the end of the month you paid for. If you believe you were charged in error, contact us within 14 days of the charge and we will review your case.
After cancellation, your account and data are retained for 30 days in case you change your mind. After 30 days, your data is permanently deleted. You can request earlier deletion at any time.

Bookvise uses AI to suggest transaction categories. These suggestions are not a substitute for professional accounting advice. You are responsible for reviewing all categorizations before approving them, and for the accuracy of any records submitted to QuickBooks or used for tax purposes. We are not liable for errors in AI categorization that you approve without review.
Bookvise is provided "as is" without warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
To the maximum extent permitted by law, Bookvise and its operators shall not be liable for:
In no event shall our total liability to you exceed the amount you paid to us in the 3 months preceding the claim.
These Terms are governed by the laws of the United States and the State of Delaware, without regard to conflict-of-law principles. Any disputes shall be resolved through binding arbitration under the rules of the American Arbitration Association, except that either party may seek injunctive relief in a court of competent jurisdiction.
We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of Bookvise after the effective date constitutes acceptance of the revised Terms.
